Handling of Personal Information

TRYT Inc. (hereinafter referred to as the “Company”) recognizes the importance of protecting personal information in its operations. All employees must handle and protect personal information with due consideration and care in accordance with the following rules. Unless otherwise specified, the terms used in this Handling of Personal Information have the meaning specified in the Act on the Protection of Personal Information (Act No. 57, 2003, hereinafter referred to as the “Act”).

Definition of personal information

Personal information means personal information as defined in Article 2, paragraph (1) of the Act.

Proper collection and use of personal information

  • In principle, we collect personal information with the consent of the individual concerned, by lawful and fair means.
  • We clearly state the purpose of use before collecting, using, and providing personal information appropriately. We use collected personal information within the scope of the prescribed purposes and take appropriate measures to prevent any other use than the prescribed purposes.
  • We take appropriate measures to prevent the collection of sensitive personal information unless the individual concerned expressly consents or there is a legal basis to do so.
  • We may record conversations with customers on the telephone for the purpose of improving service quality and operations, confirming the content of conversations, and for employee training. We delete recorded call data promptly when there is no longer a need to use it.

    ② For providing information on or offering job openings in companies registered with the Company or its group companies, and for contacting registered persons;

    ③ For sending information and materials about other services provided by the Company or its group companies in connection with job offers and work; and

    ④ For other purposes related to the processes specified above

    (3) Information on persons who have been selected for employment through the job placement business or worker dispatch business of the Company or its group companies or through the services provided by the Company or its group companies:

    ① For procedures performed by the Company or its group companies to conclude a contract or other related procedures;

    ② For managing the employment by the Company or its group companies as an employer or staff-dispatching agency;

    ③ For providing employee welfare;

    ④ For contacting the person in the event of a disaster or other emergency; and

    ⑤ For other purposes related to the processes specified above

  • Information on persons who apply to attend training programs of the Company or its group companies:
  • (1) For providing information on training programs of the Company or its group companies, contacting the trainees, and administering the programs;

    (2) For managing training programs provided by the Company or its group companies;

    (3) For providing services related to training programs of the Company or its group companies;

    (4) For conducting surveys, such as questionnaires, regarding training programs of the Company or its group companies; and

    (5) For other purposes related to the processes specified above

  • Information on persons who apply for career counseling by the Company or its group companies:
  • (1) For providing information on career counseling by the Company or its group companies, contacting the person, and administering the counseling;

    (2) For providing career counseling services by the Company or its group companies;

    (3) For conducting surveys, such as questionnaires, regarding career counseling by the Company or its group companies; and

    (4) For other purposes related to the processes specified above

  • Information on persons who apply for the use of or decide to use services provided by the Company or its group companies, including the advertising planning and management service, website construction service, application development service, media content management service, website access analysis service, social media business operation service consulting services, and SEO service.

  • Information of applicants for employment with the Company or its group companies:
  • (1) For considering and determining recruitment conditions and methods, considering and determining employment, implementing the screening procedures, and providing information to applicants regarding the screening procedures;

    (2) For providing information to successful applicants regarding the procedures and materials to be completed to join the company, and for the company’s processing of these procedures and materials;

    (3) For administering and operating personnel and labor affairs after employment; and

    (4) For other purposes related to the processes specified above

  • Information on officers, employees, their family members, and former officers and employees of the Company or its group companies:

    (2) For operations related to safety, health, or health management;

    (3) For operations related to wages, bonuses, retirement benefits, executive compensation, corporate pensions, and other payments;

    (5) For operations related to personnel management, including transfers, performance evaluations, awards, and disciplinary punishments;

    (6) For considering and determining the conditions and methods of employment;

    (7) For operations required by law, including tax and social security;

    (9) For business correspondence, emergency contact in the event of a disaster or other emergency, or for operations related to equipment and facility management;

Provision of personal information to third parties

The Company and its group companies do not disclose or provide personal information to third parties without the prior consent of the individual concerned, except when required or permitted by law, including commissioning the handling of personal information to third parties within the scope necessary to achieve the purpose of use.

Commissioning the handling of personal information

  • The Company or its group companies may commission all or part of the handling of personal information to outside parties to the extent necessary to achieve the purpose of use. In commissioning all or part of the handling of personal information, we will select entities that meet appropriate standards for protecting and managing personal information and make appropriate arrangements with them, such as concluding a written agreement, to ensure their proper handling of personal information.
  • When the Company and its group companies provide personal information to third-party business operators or other entities overseas, including contractors, we obtain the prior consent of the individual concerned, except in the following cases:
  • ・ The third party is located in a country that is designated under the Rules of the Personal Information Protection Commission as having a legal personal information protection system recognizable as equivalent to that in Japan in terms of protecting the right and interests of individuals;

    ・ Personal information is provided to a party having a system that conforms to the standards that the Rules of the Personal Information Protection Commission specifies as necessary to continuously take measures equivalent to those required to be taken by business operators handling personal information pursuant to the Act on the Protection of Personal Information;

Management of personal information

We take necessary and appropriate measures to prevent leakage, loss, unauthorized access, or destruction of personal information and to ensure the safe management of personal information. Voluntary provision of personal information

When the Company or its group companies asks you to provide your personal information, you may elect to provide or not to provide all or part of it. Please note that if you elect not to provide your personal information, we may not be able to provide services to you adequately.

Laws, regulations, and other norms

We comply with Japanese laws, regulations, and other norms related to the protection of personal information and strive to continuously improve this Policy.

Procedures for Disclosure to Individuals Concerned

If we receive a request from an individual to disclose personal information or records provided to third parties concerning that individual, we promptly disclose to the individual the requested information based on objective facts, such as the individual’s qualifications or professional experience. If an individual requests correction of their personal information, or suspension of use or provision to third parties, we make corrections or suspend the use or provision to third parties to the necessary extent specified by law. If we receive a request for disclosing information related to security management measures, we promptly disclose such information to the requester. Please note that if we suspend the use of or delete all or part of your personal information at your request, we may not be able to provide the services to your satisfaction.
